This privacy notice explains how Tarporley Parish Council collects, uses, and protects personal information. It applies to anyone who contacts the council, uses the council’s website, or receives a service from the council.

Who we are

Tarporley Parish Council is the data controller for the personal information described in this notice. Our registered address is Tarporley Parish Council, 3 Brook Drive, Kelsall, Tarporley, Cheshire. CW6 0NX

The council is registered with the Information Commissioner’s Office (ICO) under registration number ZA002951.

What information we collect

We collect personal information about you only when it’s needed to deliver our services or to fulfil our legal duties. Depending on what you contact us about, this may include:

  • your name and contact details (email, telephone, postal address)
  • information about a property or address you’ve contacted us about (e.g. a planning consultation response)
  • the contents of any correspondence you send the council
  • information you provide as part of an application (e.g. for an allotment or a community grant)

Why we use it (lawful basis)

Under the UK General Data Protection Regulation (UK GDPR), we must have a lawful basis for processing your personal information. Most of our processing is on one of the following bases:

  • Public task — to carry out our official functions as a parish council under the Local Government Act 1972 and related legislation
  • Legal obligation — to comply with our duties under specific laws (for example, the Public Bodies (Admission to Meetings) Act 1960)
  • Contract — to fulfil a contract with you (e.g. an allotment tenancy)
  • Consent — when you’ve given us specific permission to use your information for a particular purpose (e.g. to add you to a mailing list)

Who we share it with

We do not sell your personal information, and we don’t share it with third parties for marketing. We may share information with:

  • Cheshire West and Chester Council — when matters are within their remit rather than ours, or as part of joint working
  • The council’s external auditor and internal auditor — for statutory audit purposes
  • Our IT service providers — including the company that hosts the council’s website and email, who process information strictly on our instructions
  • The police, fraud prevention agencies, or regulators — where we are required by law to do so

How long we keep it

We keep personal information only for as long as we need it. The retention periods for the different categories of council records are set out in our retention schedule. As a guide:

  • general correspondence — 2 years
  • minutes and formal council records — permanent
  • financial records — 6 years (or as required by HMRC and audit rules)
  • allotment tenancy records — duration of tenancy plus 6 years

Your rights

Under UK GDPR you have the right to:

  • be informed about how we use your information (this notice)
  • request a copy of the information we hold about you (a “subject access request”)
  • ask us to correct information that’s wrong
  • ask us to delete information in certain circumstances
  • ask us to restrict how we use your information in certain circumstances
  • object to how we use your information in certain circumstances
  • withdraw your consent at any time, where consent is the lawful basis for our processing

CCTV

The council does not operate CCTV cameras in any of the areas it manages. If this changes, this notice will be updated.

If you have a concern about how the council is handling your personal information, please contact the clerk first — we’d like the chance to put it right. If you are not satisfied with our response, you have the right to complain to the Information Commissioner’s Office:

Changes to this notice

We review this notice at least once a year, and update it whenever the council’s processing changes. The “last updated” date at the top of the page reflects the most recent change.
